  • Position: Human Resources Administrative Coordinator (I or II)
  • Classification:  Non-Exempt – Full-Time 
  • Location: Corporate – Hayward, CA
  • Reports To:  Human Resources Manager

Summary/Objective

The Human Resources Administrative Coordinator (HRAC) (I or II) is responsible for providing administrative support to various human resource functions, including recruiting, employee/labor relations, compensation, benefits, training, and records management. This role ensures the smooth execution of day-to-day HR operations, maintains compliance, and serves as a point of contact for routine HR inquiries.

Essential Functions

  • Administrative Support: Provides support across HR functions, including EEO, training, and employee records.
  • Benefits Administration: Assists with 401K elections, healthcare enrollments, and general enrollment applications.
  • Communication: Responds to routine questions on HR policy, reference checks, and Verifications of Employment (VOE).
  • Compliance Project Support: Completes informational and reporting requirements for federal, local and state compliance; provides data extracts for vendor and internal support metrics.
  • Data Management: Performs HRIS data entry, maintains attendance records, and compiles statistics for HR management reports.
  • Onboarding & Separations: Prepares systems and protocols for new hire onboarding and employee separations. Provides hire and offboarding documentation via system's and hard-copies (inclusive of Leadership Team communications / direction).
  • Personnel Records Management: Maintains all personnel files in accordance to HR principles and processes personnel actions, health & welfare benefits, performance, wage changes, etc. Maintain and track all correspondence within personnel system (cloud base and live document storage systems).
  • Pre-Employment Screening: Conducts pre-employment screening by verifying references, and processes documents via government agencies and 3rd party administrators. Administers the Alcohol/Drug/Physical Program Testing for all employees.
  • Project Support: Assists HR Business Partner(s) and/or the Manager with specialized HR projects and departmental logistics.
  • Recruitment & Hiring: Contributes to the hiring process by preparing job postings/requisitions in the ATS/HRMS and processing employment applications.
  • Training Repository: Deployment and tracking of personnel training materials and completion via software/online site. Provide reporting and follow up reminders to personnel and leadership as required.

Requirements

  • Critical Evaluation: Ability to gather and compile statistics, interpret routine policies, and identify discrepancies in HR records.
  • Detail Orientation: High level of accuracy in data entry, record maintenance, and the processing of legal/employment documentation.
  • Effective Communication: Ability to communicate clearly and professionally with internal employees, management, and outside vendors.
  • Integrity & Confidentiality: Deep understanding of the sensitive nature of HR communication & data; maintains strict confidentiality and adheres to ethical practices in all interactions.
  • Interpersonal Relationship Management: Skilled at building and maintaining professional relationships across multiple levels of the business.
  • Professionalism & Reliability: Maintains a high standard of personal accountability, demonstrated through consistent attendance, punctuality, and a strong work ethic. Serves as a reliable representative of the HR department.

Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment

While performing the duties of this job, the employee regularly works in an office setting.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. This is largely a deskbound role; however, filing, correlating, reproduction and binding materials are required. The employee is regularly required to use hands and fingers to handle, feel or operate objects, tools and controls. This also require the ability to lift files and light boxes, open filing cabinets, bend or stand on a stool, climb stairs, reach with hands and arms, squat, talk and prepare training and meeting rooms/spaces as necessary.

Position Type/Expected Hours of Work

This is a Full-Time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m.

Travel

Local travel to various worksites is very limited if at all.

Required Education and Experience

  • High school diploma plus 5+ years of experience within office/clerical support role(s).

Desired Experience

  • Secondary Education with concentration or certificate in Human Resources or Business Administration, SHRM or HRCI classes or certification, or 2+ years of previous HR experience.
