Fisher Phillips, a premier international labor and employment law firm, is seeking an experienced Office Administrator to oversee the day-to-day operations of our Philadelphia office. This role is key to delivering exceptional client service, supporting our attorneys and staff, and ensuring an efficient, well-run office.

Key Responsibilities

  • Staff management: Supervise legal support staff (secretaries, paralegals, office services, receptionist), including hiring, training, counseling, performance reviews, and terminations. Serve as liaison between support staff and HR.
  • Event planning: Plan and execute office events, meetings, and celebrations.
  • Facilities management: Act as primary contact with building management, oversee office cleanliness and maintenance, attend tenant meetings, and manage emergency preparedness. Supervise office and conference services to ensure meetings and client events are properly set up.
  • Workflow & coverage: Partner with the Regional Managing Partners to review workload, adjust staffing, and ensure adequate backup for reception and other support roles. Help develop and improve support models to maximize efficiency and utilization.
  • Budget & accounting: Maintain and monitor the local office budget for designated expenses.
  • Records management: Oversee records handling, coordinate with off-site storage vendors, and partner with the Records department on destruction projects and other initiatives.
  • Collaboration & collections: Collaborate with administrators and managers in other offices and oversee office collections efforts, providing regular updates to the Regional Managing Partners.
  • Additional support: As needed, assist with marketing, professional development and recruiting, billing and collections, and miscellaneous reporting.

Requirements

  • Minimum five (5) years of law firm experience in a comparable administrative/management role.
  • Bachelor’s degree or equivalent work experience required.
  • Proven experience supervising legal support staff and managing multiple roles and functions.
  • Strong client service orientation with clear, professional written and verbal communication skills.
  • Flexible, hands-on approach with the ability to pitch in wherever needed.
  • Solid project management and organizational skills.
  • Strong clerical and basic bookkeeping skills. Proficiency in Microsoft Office and iManage (or similar document management program). Experience with Milana, InTapp, Chrome River, and Aderant is a plus.
  • Facilities management experience, including landlord relations and oversight of office maintenance and repairs.
