Job Summary
The Project Coordinator II, reporting to the Program Manager and HTC Medical Directors, provides administrative support to HTC Clinical Staff and HTC Operations functioning as the primary support for HTC Operational needs. The emphasis is placed on the ability to organize priorities, complete tasks, manage confidential patient information, support patients in a billing and insurance capacity, referrals, and other managed care-related issues. Serves as an overall resource person for patients, families, and clinic staff.Qualifications
- Performs all duties and responsibilities of a Project Coordinator I & II.
- Develop and continually educate on knowledge of HMO, PPO, ACO, Managed Care, and other Third-Party Insurer plans. Functions as a resource for patients and Clinical Team regarding managed care plans, insurance, and referral issues, with an ability to perform electronic insurance verification.
- Oversees the Manufacturers Co-Pay Assistance Enrollment process for all eligible patients.
- Works with CPBO to submit Co-Pay Assistance claims to the 3rd Party Co-Pay Assistance vendors and track payments from vendors
- Oversees the development and continued production of the HTC Newsletter at the direction of Medical Directors and HTC staff for Bleeding Disorders Community patients.
- Support HTC Program Manager in Financial Management preparation and reconciliation process
- Work with CPBO Billing staff to run and submit weekly report for charges to the billing team for charge entry
- Develop relationships with Manufacturers and 3rd Party Vendors for Co-Pay Assistance
- Understands financial services and self-pay resources and provides patients with information as needed.
- Work with Clinical Leadership and Program Manager to update HTC website on an ongoing basis
- Work with HTC Medical Directors and Leadership as well as Central Marketing to develop material asset handouts for patients
- Assists HTC Clinical team in management of administrative tasks for patient Transportation needs
- Assists HTC Clinical team in management of administrative tasks for Emergency Assistance needs for HTC patients
- Assists HTC Clinical team in management of administrative tasks for Dental medicine support for our HTC patients
- Assists with patient education event planning process for multiple events per year
- Responsible for submitting documentation on behalf of all Clinical staff for reimbursement of travel, Registrations, and other reimbursement items
- Supports HTC Clinical team in setting up travel through the use of Egencia
- Works collaboratively with clinical and non-clinical staff.
- Provides support and information to providers to problem-solve and manage complex administrative patient issues.
- Triages and manages complex telephone calls, utilizing courteous customer service skills. Ensures that calls and/or messages are directed to and received by providers and support staff.
- Maintains confidentiality and privacy consistent with HIPAA guidelines.
- Works with leadership and clinical team to track key clinical operations metrics
- Participate and support practice wide process improvement initiatives.
- Document and maintain documented practice workflows.
- Assists with training and orientation of new staff, as needed.
- Participate in special projects and additional duties as needed.

Education:
- Associate’s Degree or equivalent required
- Bachelor’s Degree in Business or HealthCare focus preferred
Experience:
- Administrative or project support experience. 3-5 years required
Knowledge, Skills, & Abilities:
- Ability to prioritize, delegate, and manage multiple projects and responsibilities simultaneously.
- Basic financial/accounting skills.
- Strong oral and written communication skills.
