The Administrative Assistant will initially support the Color Science team and will be responsible for a variety of administrative and operational tasks.
The Company therefore has determined that a review of criminal history is necessary to protect the business and its operations and reputation and is necessary to protect the safety of the Company’s staff, employees, and business relationships.
Primary Responsibilities
- Enter approximately 50% of customer LWRs into Valtrack.
- Respond to customer inquiries regarding RGB values, SRI values, cross-reference codes, and library searches.
- Communicate customer and sales ETA updates.
- Schedule projects in the Due Tracker system.
- Assist with overflow tasks related to the standards process.
- Provide coverage for other administrative roles during absences.
General Administrative Duties
- Answer incoming phone calls and greet visitors.
- Schedule appointments and maintain calendars.
- Coordinate meetings and arrange meals for groups and visitors.
- Prepare communications such as memos, emails, invoices, reports, and other correspondence.
- Create and maintain both electronic and physical filing systems.
- Order and manage supplies for the R&D Lab.
Color Science / R&D Lab Support
- Generate LWRs, reports, and assist with Salesforce-related tasks.
- Manage customer email groups and respond to a variety of requests.
- Coordinate shipping needs, including communication, ordering, and maintaining the customer template database. This includes shipping needs for Minneapolis.
Professional Expectations
- Prepare written communications and utilize various computer applications, including Microsoft Office 365.
- Demonstrate a high level of professionalism and confidentiality in all internal and external communications.
- Support special projects and perform other duties as assigned by the team.
Expanded Responsibilities (After 9–12 Months)
After 9–12 months in the role, the Administrative Assistant will transition to supporting the entire R&D Lab, which will include the responsibilities listed above, as well as:
- Continue entering 50% of customer LWRs into Valtrack.
- Complete daily Coil and Extrusion shipping tasks as part of the new lab’s combined process.
- Schedule projects in Due Tracker.
- Provide overflow support for the standards process.
- Support BIOS activities, including setups, data verification, and data entry.
- Serve as the new lab’s Office Manager, responsible for:
o Managing supply inventory.
o Overseeing general maintenance of office equipment.
o Handling day-to-day administrative tasks.
o Assisting with new employee onboarding.
o Coordinating visitor scheduling.
BASIC QUALIFICATIONS
• Must be legally authorized to work in the country for which you are applying for employment (without now or in the future needing sponsorship for employment work visa and/or permanent residence status).
• Must be at least 18 years of age.
• High school diploma or equivalent of.
• Proficient in MS Office 365 (word, excel)
• Computer Knowledge for data entry and communication

- Prior Experience as an Administrative Assistant
- Previous laboratory or industrial coatings experience
Travel Requirements: 5%
